Privacy Policy
Revica.io, LLC · Effective date: September 13, 2026 · Last updated: September 13, 2026
Revica.io, LLC ("Revica," "we," "us," or "our") builds and operates AI voice agents, SMS agents, social media agents, website visitor identification, AI-generated video content, booking websites, and workflow automations for businesses. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit revica.io (the "Site"), contact us, or use our services (together, the "Services").
If you do not agree with this Policy, please do not use the Site or Services.
1. Who This Policy Covers
We interact with three kinds of people, and our role is different for each:
| Who you are | Example | Our role |
|---|---|---|
| Site visitor | You browse revica.io, use the live chat or demo phone line, or fill out a form | We are the controller (we decide how your data is used) |
| Client | You are a business (or its employee) that has signed up for Revica's Services | We are the controller for your account and billing data |
| Client's customer | You call, text, DM, email, or visit the website of a business that uses Revica | We are a processor / service provider acting on that business's instructions |
If you are a Client's customer: the business you contacted is responsible for how your information is used. Their privacy policy governs. We process your information only to deliver the Services to that business. To exercise privacy rights over data we hold on a business's behalf, contact that business directly. If you reach out to us, we will forward your request to them.
2. Information We Collect
2.1 Information you give us directly
Contact and inquiry details: name, email address, phone number, company name, industry, and anything you include in a form, chat, email, or call with us.
Account and onboarding information (Clients): business name, services offered, hours, service area, pricing rules, staff names and roles, calendar connections, scripts, brand voice guidance, and anything else you provide so we can build and train your agents.
Billing information: billing address and payment details. Card and bank details are processed by our payment processor; we do not store full card numbers.
Content you upload: recordings, photos, video, logos, documents, and customer lists you provide for the Services.
2.2 Information collected through our AI agents
When you interact with an AI agent operated by Revica (on our Site or on a Client's behalf), we may collect:
- Call data: your phone number, caller ID information, call time and duration, audio recordings, and transcripts of the call.
- Text and chat data: your phone number or account handle, message content, timestamps, and delivery status for SMS, web chat, email, and social media DMs and comments.
- Job and booking details: the reason for your contact, property or service address, urgency, requested services, quotes discussed, and appointment times.
- AI-generated summaries and labels: for example, "emergency repair, high urgency," lead qualification notes, and sentiment or quality scores used to review agent performance.
Recording notice. Calls handled by our voice agents are recorded and transcribed. Where required by law, callers are notified at the start of the call. If you do not consent to recording, you may end the call and contact the business by another method.
2.3 Information collected automatically on the Site
- Device and usage data: IP address, browser type, operating system, device identifiers, referring URL, pages viewed, time on page, clicks, and approximate location derived from IP address.
- Cookies and similar technologies: we use cookies, pixels, and local storage to run the Site, remember preferences, measure traffic, and support marketing. See Section 7.
2.4 Website visitor identification
Revica offers, and uses on its own Site, a visitor identification service. This technology attempts to match anonymous website traffic to a name, email address, company, or postal address using device and browser signals combined with data from third-party identity resolution and data providers. The identified information may be used to send you a follow-up email or other marketing communication, including a link to book an appointment.
If you would prefer not to be identified or contacted this way, you can:
- Opt out of visitor identification on our Site by contacting us at hello@revica.io;
- Use the unsubscribe link in any email we send;
- Exercise the opt-out and deletion rights described in Section 9.
Clients who deploy visitor identification on their own websites are responsible for providing appropriate notices and opt-outs to their visitors and for complying with applicable law.
2.5 Voice, face, and likeness data (Clone Video)
Our Clone Video service creates AI-generated video and audio in a Client's likeness. To do this we collect and process:
- Video and audio recordings of the individual being cloned;
- Derived voiceprints, facial geometry, and mannerism models used to generate content.
This information may qualify as biometric data under laws such as the Illinois Biometric Information Privacy Act and the Texas Capture or Use of Biometric Identifier Act. We only create a clone with the written consent of the individual whose likeness is used. We use this data solely to produce content that the Client has requested, do not sell or license it to anyone, and retain it only for the duration of the Client relationship or as otherwise stated in Section 6, after which it is permanently deleted.
2.6 Information from third parties
- Integration data: when a Client connects Google Workspace, Microsoft 365, calendars, CRM tools, phone systems, Meta (Facebook/Instagram), TikTok, LinkedIn, Google Business Profile, review platforms, or payment tools, we receive data from those services as authorized by the Client.
- Data providers: identity resolution, business contact, and enrichment providers used for visitor identification and lead qualification.
- Public sources: business listings, review sites, and social profiles.
We do not knowingly collect information from anyone under 18. See Section 11.
3. How We Use Information
We use personal information to:
- Provide the Services: answer calls and messages, qualify leads, book appointments, send confirmations and reminders, request reviews, update pipelines, run automations, produce content, and identify website visitors.
- Build, train, and tune agents: configure agents to a Client's business, review call and message quality, correct errors, and improve responses. Client data used for this purpose is used to improve that Client's agent, not to train general-purpose AI models for other customers, unless the Client has agreed otherwise in writing.
- Operate and improve the Site: analyze traffic, diagnose problems, test features, and improve design.
- Communicate with you: respond to inquiries, send service notices, and provide support.
- Marketing: send information about our Services to prospects and Clients, including follow-ups triggered by Site visits or visitor identification. You can opt out at any time (Section 8).
- Billing and account management.
- Security and fraud prevention: detect abuse, protect our systems, and enforce our Terms of Service.
- Legal compliance: meet legal obligations, respond to lawful requests, and establish or defend legal claims.
4. Third-Party AI and Telephony Providers
Our Services rely on third-party providers, which may include large language model providers, speech-to-text and text-to-speech providers, telephony and SMS carriers, and video generation platforms. Call audio, transcripts, message content, and prompts are transmitted to these providers to generate responses. We use these providers under agreements that restrict their use of your data to providing services to us. We select providers that contractually commit not to use our customers' data to train their general models where such options are available.
5. How We Share Information
We do not sell personal information for money. We share information in the following ways:
- With Clients: if you are a Client's customer, everything you share with an agent (recordings, transcripts, messages, booking details) is delivered to the business you contacted.
- Service providers: hosting, AI model providers, telephony and SMS carriers, email delivery, CRM and pipeline platforms, calendar providers, payment processors, analytics, customer support tools, and visitor identification / data providers.
- Integrated platforms: when a Client connects a platform (e.g., Meta, TikTok, LinkedIn, Google), data is exchanged with that platform under its terms.
- Business transfers: in a merger, acquisition, financing, or sale of assets, information may be transferred to the successor entity.
- Legal reasons: to comply with law, regulation, subpoena, or court order; to protect the rights, property, or safety of Revica, our Clients, or others.
- With your direction or consent.
Under some state privacy laws, certain sharing of website data with advertising or visitor identification partners may be considered a "sale" or "sharing" for targeted advertising. You may opt out as described in Section 9.
6. Data Retention
We keep personal information only as long as needed for the purposes described in this Policy, unless a longer period is required by law. As a general guide:
| Data type | Typical retention |
|---|---|
| Call recordings and transcripts | Duration of Client relationship, then deleted within 90 days unless the Client requests earlier deletion |
| SMS, chat, and DM content | Duration of Client relationship, then deleted within 90 days |
| CRM and pipeline records | Controlled by the Client; deleted on termination at Client's request |
| Clone Video source recordings and models | Deleted within 30 days of termination, or sooner on request |
| Site analytics and visitor identification records | Up to 24 months |
| Billing records | 7 years as required for tax and accounting |
| Marketing contact records | Until you unsubscribe, then suppressed |
Clients may request earlier deletion of their data at any time. Aggregated or de-identified data that cannot reasonably be linked to a person may be retained indefinitely.
7. Cookies and Tracking Technologies
We use:
- Essential cookies needed for the Site to function (security, load balancing, chat sessions).
- Analytics cookies to understand how the Site is used.
- Marketing and identification pixels to measure campaigns, retarget visitors, and support visitor identification.
You can control cookies through your browser settings. Blocking some cookies may affect Site functionality. Our Site does not currently respond to "Do Not Track" browser signals, but we do honor Global Privacy Control (GPC) signals as an opt-out of sale/sharing where required by law.
8. Marketing, SMS, and Communication Preferences
- Email: every marketing email includes an unsubscribe link. Service and transactional emails (booking confirmations, invoices) will continue.
- SMS: we and our Clients send text messages only where consent has been obtained or where the message responds to a contact you initiated. Message and data rates may apply. Reply STOP to any message to opt out and HELP for assistance. Our agents honor opt-out requests automatically and observe quiet hours.
- Phone: you may ask to be placed on our internal do-not-call list at any time.
9. Your Privacy Rights
Depending on where you live, you may have rights to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Delete your information;
- Receive a portable copy of your data;
- Opt out of targeted advertising, the sale or sharing of personal information, and certain profiling;
- Limit use of sensitive personal information;
- Withdraw consent where processing is based on consent;
- Not be discriminated against for exercising these rights.
Residents of Texas, California, Virginia, Colorado, Connecticut, Utah, Oregon, Montana, and other states with comprehensive privacy laws may exercise these rights by emailing hello@revica.io with the subject line "Privacy Request." We will verify your identity before responding and reply within the time required by applicable law (generally 45 days). You may designate an authorized agent to make a request on your behalf. If we deny your request, you may appeal by replying to our decision, and we will respond to your appeal within the required timeframe.
California residents: in the preceding 12 months we have collected the categories of information described in Section 2 and disclosed them for business purposes as described in Section 5. We may "share" identifiers and internet activity with advertising and visitor identification partners. We do not knowingly sell or share the personal information of consumers under 16. You may opt out at any time by emailing us or by enabling Global Privacy Control in your browser.
If you are a Client's customer, please direct requests to the business you contacted. We will assist that business in fulfilling your request.
European Economic Area, United Kingdom, and Switzerland: our Services are designed for United States businesses. If we process your data, our legal bases are performance of a contract, our legitimate interests in operating and marketing our business, compliance with legal obligations, and your consent where required. You may lodge a complaint with your local data protection authority.
10. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, access controls, role-based permissions, and logging. No system is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and the relevant authorities as required by law.
11. Children
The Site and Services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us at hello@revica.io and we will delete it.
12. International Data Transfers
We are based in the United States and process information in the United States. If you access the Site or Services from outside the U.S., your information will be transferred to and processed in the U.S., where privacy laws may differ from those in your country.
13. Automated Decision-Making
Our AI agents make routine, automated decisions such as qualifying a lead, selecting an appointment slot, or classifying a request as an emergency. These decisions do not produce legal or similarly significant effects on you, and a human at the business you contacted can always review or override them. Our agents are designed to escalate to a human rather than guess when a request falls outside their instructions.
14. Third-Party Links and Platforms
The Site may link to third-party websites and our Services integrate with third-party platforms. We are not responsible for the privacy practices of those third parties. Review their policies before providing information.
15. Changes to This Policy
We may update this Policy from time to time. We will post the revised version on the Site with a new "Last updated" date, and for material changes we will provide additional notice to Clients by email. Continued use of the Site or Services after changes take effect means you accept the updated Policy.
